The Opportunity

The Executive Assistant supports one or more consultants by providing ongoing assistance in all aspects of client engagements and playing an ownership role in the oversight of administrative tasks. The role requires an individual capable of planning, executing and finalizing projects according to strict deadlines. This includes acquiring resources and coordinating the efforts of team members and clients in order to deliver projects according to plan. The Executive Assistant must proactively manage changes in project scope, identify potential crises and devise contingency plans on a regular basis.

 

The successful candidate will be highly flexible, a strong multitasker on many levels and relish the variety and unpredictability of juggling multiple projects and changing priorities. The Executive Assistant is expected to feel a sense of ownership and involvement in the process, so as to be able to stage-manage all the elements that come together in a successful mandate. The Executive Assistant must ensure discreet handling of all interactions with clients, candidates, etc.

What You’ll Do

Administrative

•          Arrange all scheduling, including but not limited to, candidate meetings and interviews, client meetings and interviews, business development meetings, assignment related meetings, internal meetings, video conferencing, etc.

•          Manage complex calendars and prioritize meetings/calls as needed.

•          Arrange and coordinate complex and detailed travel plans, itineraries, and agendas for both consultants and candidates. Compile documents for travel-related meetings.

•          Process expense reimbursements for consultants and candidates.

•          Compose, prepare, and edit confidential correspondence.

•          Perform additional administrative support activities, including but not limited to, fielding telephone calls, receiving and directing visitors, event planning, and other ad-hoc projects as requested.

•          Ensure that our global database is up-to-date and accurate; including but not limited to, all client/internal documents, client/candidate information, notes, emails, and appointments.

•          Hold additional office/reception responsibilities as needed to ensure the office is operating smoothly. Provides ad-hoc support to other Executive Assistants when requested to assist with work overflow as capacity allows, and as determined by Regional Administration Manager.

Search Coordination

•          Serve as client and candidate liaison assisting consultant in maintenance of daily search activities. Acts as the single point of contact for all key logistics matters.

•          Communicate directly, and on behalf of the consultant, on client, candidate, and internal mandates. Provides a bridge for smooth communication between the consultant and external/internal team members.

•          Take a proactive approach to assist with various client needs during a consultant’s absence.

•          Work closely and effectively with consultant and research stakeholders to ensure deadlines are met and client and candidate needs are served.

•          Produce high quality client and candidate deliverables, ensuring completion within designated timeframes. Successfully complete critical aspects of deliverables with a hands-on approach.

•          Prioritize conflicting needs; handle matters expeditiously, proactively, and follow-through on time-sensitive projects to successful completion.

•          Assist accounting department with billing, client invoicing, and receivables.

•          Build positive relationships and interface regularly with high-level executive candidates (Fortune 500 client executives & candidates) involved in highly confidential projects.

 

Business Development

•          In partnership with the Consultant, create and own the process to drive the Consultant’s business development strategy.

•          Collaborate with consultant, research and others on the team in the production of high quality marketing presentations and materials and holds responsibility for the finalization of materials for pitches and events.

·         Bachelor’s degree preferred

·         A minimum of 5 years’ experience serving in an administrative function, ideally within a professional services firm.

·         Organized multi-tasker:able to manage multiple projects with set deadlines as time management, pattern recognition, prioritization, diligent attention to detail and judgment are critical in this role.

Position

This is a critical role atthe cusp of cyber security and data privacy. This individual will have a direct line of reporting to the Director as well as a dotted line of reporting to the Egon Zehnder's Legal Counsel.

Key responsibilities and accountabilities

What will you do?

  • Provide response to Data Security and Protection Requests for client proposals (RFP), audit questionnaires and other documents to Egon Zehnder clients from an IT and data privacy perspective as received from business or legal team
  • Work closely with various IT functions and Legal team to ensure that technical knowledge is maintained, and that RFP and other client response can be accurately and timely answered
  • Assess gaps in policies, processes and cybersecurity technology while reviewing and responding to the above RFPs and come up with proposals and suggestions for their mitigation or risk reduction
  • Stay updated and informed of the various Data privacy laws e.g. GDPR, CCPA and similar as mandated by various countries and assess them to identify and propose additional controls and policies for our local offices to remain compliant with the law of the land around IT and Cyber security.
  • Collaborate cross-functionally with roles such as IT infrastructure, Digital/application development, and Legal to identify and highlight gaps and risks with existing applications and technologies around Cybersecurity and Data Protection laws.
  • Be responsible for the adoption and implementation of standard frameworks e.g. NIST.
  • Adopt new controls and align cybersecurity policies as per well-known standards e.g. ISO 27001 for reduced scrutiny and quick closures of RFPs.
  • Actively participate in driving Risk management function around information and cyber security, maintenance of risk register, and work towards improving the risk maturity level of the firm.
  • Assess risk imposed by technical solutions and advise business of security standards, best practice and solutions to address data security and protection risk.
  • Actively participate in running internal data security and protection audits, which includes assessment and gap analysis of current IT security policies, processes, systems and controls.
  • Be responsible for driving cyber and information security awareness and training campaigns globally for Egon Zehnder offices.

Experience and key Competencies

  • Experience in RFI and RFP response in the area of Cyber Security Solutions including infrastructure security, security monitoring /analytics / incident-response, risk & compliance management, identity & access management and data security solutions
  • Minimum 2 years of Information Security, vendor risk management and/or other risk management experience preferably in banking or financial services industry
  • Experience and affinity with data privacy laws namely GDPR
  • Familiar with regulatory and industry standards such as NIST, ISO 27001 etc. and SOC1/SOC2 audit reports
  • Ability to answer complex risk assessments and questionnaires across all domains of IT Security
  • Understanding of enterprise security systems (e.g., Firewalls, VPN, SEIM), security threats and related risks, data loss prevention, malware protection etc.
  • Ability to adapt to a fast-moving IT landscape and keep pace with the latest thinking and new security technologies
  • Capability to understand, analyze, and interpret legal, contractual language, and summarize findings in concise, articulate manner
  • Ability to be discrete and maintain confidentiality with respect to agreement contents and other highly sensitive business matters and projects

Essential Duties and Responsibilities 

 

Research & Project Strategy 

·         Serve as the lead Expert for multiple simultaneous client projects in collaboration with Consultants and junior Experts

The position

Data Analyst – Data Analytics

The Analyst will be responsible for work on day-to-day Power BI requests. He/She should be able to help the stakeholders on improving the processes via automation of projects. The analysts should be able to deep dive into the data for insights and also be able to formulate Power BI tasks and solutions.

Principal Responsibilities

Key Result Areas

The Opportunity

The Executive Assistant supports one or more consultants by providing ongoing assistance in all aspects of client engagements and playing an ownership role in the oversight of administrative tasks. What You’ll Do

Administrative

•          Arrange all scheduling, including but not limited to, candidate meetings and interviews, client meetings and interviews, business development meetings, assignment related meetings, internal meetings, video conferencing, etc.

•          Manage complex calendars and prioritize meetings/calls as needed.

•          Arrange and coordinate complex and detailed travel plans, itineraries, and agendas for both consultants and candidates. Compile documents for travel-related meetings.

•          Process expense reimbursements for consultants and candidates.

•          Compose, prepare, and edit confidential correspondence.

•          Perform additional administrative support activities, including but not limited to, fielding telephone calls, receiving and directing visitors, event planning, and other ad-hoc projects as requested.

•          Ensure that our global database is up-to-date and accurate; including but not limited to, all client/internal documents, client/candidate information, notes, emails, and appointments.

•          Hold additional office/reception responsibilities as needed to ensure the office is operating smoothly. Provides ad-hoc support to other Executive Assistants when requested to assist with work overflow as capacity allows, and as determined by Regional Administration Manager.

Search Coordination

•          Serve as client and candidate liaison assisting consultant in maintenance of daily search activities. Acts as the single point of contact for all key logistics matters.

•          Communicate directly, and on behalf of the consultant, on client, candidate, and internal mandates. Provides a bridge for smooth communication between the consultant and external/internal team members.

•          Take a proactive approach to assist with various client needs during a consultant’s absence.

•          Work closely and effectively with consultant and research stakeholders to ensure deadlines are met and client and candidate needs are served.

•          Produce high quality client and candidate deliverables, ensuring completion within designated timeframes. Successfully complete critical aspects of deliverables with a hands-on approach.

Business Development

Job Description

The Office 365 Security and IAM Specialist will be responsible for developing and implementing security strategies, designing secure solutions, and managing the ongoing operations and maintenance of our Office 365 environment and IAM systems. The ideal candidate will have a deep understanding of Office 365 security features, IAM principles, and best practices and will work closely with various teams to ensure robust security protocols are in place.  

Key Responsibilities 

Strategic Planning and Design:

  • Develop and implement a comprehensive Office 365 security and IAM strategy focusing on Azure Active Directory and Conditional Access Policies.
  • Design secure Office 365 configurations and IAM solutions that meet business and regulatory requirements.
  • Lead the architecture and design of Office 365 security features and IAM frameworks.
  • Identify emerging security trends and integrate them into the overall security strategy.

Office 365 Security:

  • Configure and manage Office 365 security features such as Defender for O365, Data Loss Prevention (DLP)
  • Monitor and respond to security incidents and alerts within the Office 365 environment.

  • Ensure compliance with IAM best practices and regulatory requirements.

Operations and Maintenance:

  • Monitor and respond to security incidents and alerts related to Azure AD and Conditional Access Policies.
  • Collaborate with other IT Groups and Vendors to ensure seamless integration of IAM solutions.
  • Stay updated with the latest security trends, threats, and technologies.
  • Provide well-researched guidance on security matters related to Office 365 and IAM.
  • Perform regular maintenance and updates of security configurations and IAM systems.
  • Troubleshoot and resolve security and IAM-related issues

Education:

  • Bachelor’s degree in computer science, Information Technology, Cybersecurity, or a related field

Experience:

  • 5-7 years of experience in IT security, with at least three years focused on IAM and Office 365
  • Proven experience in designing and implementing IAM Strategy and solutions in a large organization
  • Proven ability to implement IAM solutions, encompassing user provisioning, access control, and role-based access management.
  • Hands-on experience with IAM technologies such as AAD, LDAP, SSO, MFA, and identity federation
  • Strong and proven proficiency in Azure AD Conditional Access Policies

What You'll Do

Essential Duties and Responsibilities

 Research & Project Planning

  • Serve as the lead Expert for multiple simultaneous client projects in collaboration with Consultants and other Experts
  • Act as a thought partner to the team on all aspects of projects by identifying and developing a rigorous approach and strategy (e.g., priority targets through market research, utilizing data tools, and scoping out parameters to deliver client solutions at scale and scope)
  • Communicate on a daily basis with project teams, proactively sharing updates, insights, seeking feedback and asking clarifying questions to further client projects and anticipate client’s future needs
  • Guide the project team throughout the search processes to drive strategy, candidate solutions and supporting client materials with a consistent focus on quality and speed
  • Identify, calibrate and prioritize potential candidates through a thorough research process, the internal Firm network and external resources
  • Work broadly across different Firm offerings to continue developing a well-rounded understanding of our solutions to identify the best solutions for individual client needs

Business Development

  • Partner with client teams to develop pitch presentations and business development materials, adapting deliverables and solutions to address specific client needs
  • Proactively initiate, shape, and drive effective business development activities and other business-related projects, including monitoring relevant market shifts in a segment or function, company updates, and people moves
  • Act as a partner with consultants to build targeted event lists for business development-related dinners, conferences, and other points of connection

Knowledge Management

  • Contribute to the Firm’s knowledge management activities by looking for opportunities to share expertise and best practices, developing a network of people within an industry or functional area and recording pertinent information
  • Follow market news to help inform the Industrials team of the latest occurrences in the space, and position the team to win
  • Develop an area of subject matter expertise, providing strategic guidance and high-quality insights on important trends and topics to support client teams 

Minimum Qualifications

  • Bachelor’s degree required
  • A minimum of 3 years’ professional work experience (post-undergrad)
  • Demonstrated functional experience of a similar nature (e.g., market research, qualitative or legal research, professional services/consulting, project planning)
  • Basic understanding of at least one segment in industrials (i.e., automotive, energy, machinery or industrial technology, chemicals, etc.)
  • Previous project-based experience working effectively on multiple mandates simultaneously
  • Ability to effectively operate in a fast-paced, client-driven environment
  • Exceptional critical thinking and analytical skills
  • Excellent verbal and written communication ability

What You'll Do

Essential Duties and Responsibilities

 Research & Project Planning

  • Serve as the lead Expert for multiple simultaneous client projects in collaboration with Consultants and other Experts
  • Act as a thought partner to the team on all aspects of projects by identifying and developing a rigorous approach and strategy (e.g., priority targets through market research, utilizing data tools, and scoping out parameters to deliver client solutions at scale and scope)
  • Communicate on a daily basis with project teams, proactively sharing updates, insights, seeking feedback and asking clarifying questions to further client projects and anticipate client’s future needs
  • Provide best-in-class project management and detail orientation consistently across multiple client projects to ensure you are delivering high quality, high-impact work
  • Guide the project team throughout the search processes to drive strategy, candidate solutions and supporting client materials with a consistent focus on quality and speed
  • Identify, calibrate and prioritize potential candidates through a thorough research process, the internal Firm network and external resources

Business Development

  • Drive the implementation of business development initiatives that are co-created with the leader of the Infrastructure Practice 
  • Partner with client teams to develop pitch presentations and business development materials, adapting deliverables and solutions to address specific client needs
  • Proactively initiate, shape, and drive effective business development activities and other business-related projects, including monitoring relevant market shifts in a segment or function, company updates, and people moves
  • Act as a partner with consultants to build targeted event lists for business development-related dinners, conferences, and other points of connection

Knowledge Management

  • Contribute to the Firm’s knowledge management activities by looking for opportunities to share expertise and best practices, developing a network of people within an industry or functional area and recording pertinent information
  • Proactively maintain Infrastructure-specific central documents and candidate lists to ensure high accuracy of the information on an ongoing basis 
  • Follow market news to help inform the infrastructure team of the latest occurrences in the space, and position the team to win
  • Develop an area of subject matter expertise, providing strategic guidance and high-quality insights on important trends and topics to support client teams 

Minimum Qualifications

  • Bachelor’s degree required
  • A minimum of 3 years’ professional work experience (post-undergrad)
  • Demonstrated functional experience of a similar nature (e.g., market research, qualitative or legal research, professional services/consulting, project planning)
  • Basic understanding of various segments in Infrastructure (i.e., energy, communications, transportation, digital infrastructure, etc.) 
  • Previous project-based experience working effectively on multiple mandates simultaneously

Responsibilities 

What will you do?

Key Responsibilities:

  • Design, develop, and implement automation solutions using PowerShell, LogicApps, and Python.
  • Identify opportunities for automation within various business processes and IT operations.
  • Troubleshoot and resolve issues related to automation scripts and processes.
  • Stay up-to-date with industry trends and best practices in automation and scripting.
  • Utilize Azure Automation Accounts and Function Apps to run PowerShell and Python code
  • Design, develop, and implement automated workflows and playbooks in Microsoft Sentinel to enhance incident response capabilities
  • Writing custom automations to read and consume logs/data via APIs calls
  • Working with different authentication types including working with JWT Tokens
  • Providing solutions with industry standard security considerations

  • Continuously improve existing automation processes to increase efficiency and reduce manual intervention.

  • Mentor and guide team members in automation best practices and techniques

What will you need to succeed?

Education:

  • Bachelor’s degree in Computer Science, Information Technology, or a related field

Experience:

  • 5+ years of experience in IT automation, with a strong focus on PowerShell, LogicApps, and Python
  • Experience in security automation, with a focus on SOAR platforms.
  • Demonstrated ability to design and implement innovative automation solutions.
  • Experience with Azure Automation Accounts and Azure Hybrid workers is highly desirable.
  • Strong problem-solving skills and the ability to think creatively.
  • Excellent communication and collaboration skills.
  • Ability to work independently and as part of a team in a fast-paced environment.

Skills:

The position will be responsible for the day-to-day operations of CV Capture team. Knowledge Centre India (KCI)

Knowledge Center India (KCI) is the central engine that drives the operational value for the firm. Established in 2004, KCI has evolved over the years from purely operational efficiencies into more value-added service offerings, becoming a true business partner. There are various teams based at KCI that work with Global Offices, Practice Groups, and the Management across all aspects of the firm's business life cycle. With a headcount of more than 500, the center has 5 core teams working including Experts, Research Operations, Visual Solutions, Projects/CV Capture and Digital IT, working round the clock on many mission critical elements.

Research Operations

Research Operations team partners with Industry Practices and Offices on Standard Research products such as Profiles, Confidential Report, CPIPs and Mappings. These products are leveraged by Experts and Consultants for active Searches as well as Business Development initiatives. The team also provides expertise on screening press & social media for both candidates and companies.

Team works Monday through Friday, 7:00am to 12:00am India time, and have smaller teams operating in the 12:00am to 7:00am shift for the US and other markets in the same time zone

The position

Provide support to EZI’s worldwide offices on Assignment and Knowledge Management related projects through leverage of online resources and the EZI proprietary database.

  • Key Result Areas
    • Build and develop knowledge base of companies, candidates, and various industry sub segments specific to practice group/vertical across the globe.
    • Company Dossiers (snapshots) - Information packs on companies covering Business overview, Financials, Management details and EZI Relationship.
    • Newsletters - Proactively identify, analyze and synthesize information from global print and electronic sources; identify new sources of information to upgrade the resource pool.
    • Talent tracking/Long list of executives - Create biographies for “Star/Interesting” candidates that are shared with EZI’s global clients
    • Database Management: of companies, candidates and EZI relationship in company’s propriety database.
    • Workflow Allocation and Request Management

Position Summary 

We are seeking a highly motivated and proactive Senior Business Analyst to join our Expert team serving North America based in Montreal. In this fast-paced role, the Senior Business Analyst will be responsible for guiding internal client teams of consultants and other Experts in the execution of Executive Search, Board, and Advisory projects for multiple clients within an industry or function. Primary responsibilities include project planning, market and candidate research, the production of high-quality client deliverables, business development, and knowledge management. 
 
The Senior Business Analyst provides specialized market insight, strategic guidance, and client engagement support as a crucial member of the client engagement team. In conjunction with internal consultant stakeholders, you will operate as part of a team that delivers powerful, effective human capital solutions to our clients. The ideal candidate will have strong problem-solving skills, excellent communication and interpersonal skills, and the ability to balance multiple projects at the same time.

Our Health Practice is broad and includes a variety of segments including Biopharmaceuticals & Generics, Consumer Health, Digital Health, Healthcare Delivery, Lifescience Tools and Medical Devices & Diagnostics.  

 

Essential Duties and Responsibilities 

 

Research & Project Planning 

  • Serve as the lead Expert for multiple simultaneous client projects in collaboration with Consultants and other Experts 
  • Act as a thought partner to the team on all aspects of projects by identifying and developing a rigorous approach and strategy (e.g., priority targets through market research, utilizing data tools, and scoping out parameters to deliver client solutions at scale and scope) 
  • Guide the project team throughout the search processes to drive strategy, candidate solutions and supporting client materials with a consistent focus on quality and speed  
  • Identify, calibrate and prioritize potential candidates through a thorough research process, the internal Firm network and external resources 
  • Work broadly across different Firm offerings to continue developing a well-rounded understanding of our solutions to identify the best solutions for individual client needs 
  • Create high-quality client documentation (e.g., candidate profiles, role specifications, search strategies, assessment and client progress reports, etc.) 

 

Business Development  

  • Partner with client teams to develop pitch presentations and business development materials, adapting deliverables and solutions to address specific client needs  
  • Proactively initiate, shape, and drive effective business development activities and other business-related projects, including monitoring relevant market shifts in a segment or function, company updates, and people moves 
  • Act as a partner with consultants to build targeted event lists for business development-related dinners, conferences, and other points of connection 

 

Knowledge Management 

  • Contribute to the Firm’s knowledge management activities by looking for opportunities to share expertise and best practices, developing a network of people within an industry or functional area and recording pertinent information 
  • Develop an area of subject matter expertise, providing strategic guidance and high-quality insights on important trends and topics to support client teams   

Minimum Qualifications 

  • Bachelor’s degree required 
  • A minimum of 3 years’ professional work experience (post-undergrad) 
  • Demonstrated functional experience of a similar nature (e.g., market research, qualitative or legal research, professional services/consulting, project planning) 
  • Previous project-based experience working effectively on multiple mandates simultaneously 
  • Ability to effectively operate in a fast-paced, client-driven environment 
  • Exceptional critical thinking and analytical skills 
  • Excellent verbal and written communication ability  
  • Demonstrates very strong attention to detail  

 

Preferred Qualifications 

  • Relevant experience in one or more areas related to health, either academic (e.g., a degree in biology, chemistry, public health, etc.) or professional (e.g., previous role in a lab, hospital, pharmaceutical company, etc.) 
  • Affinity and interest in the executive search industry 
  • Superior engagement management abilities and initiative to lead projects with minimal guidance or supervision 
  • Demonstrated ability to push back constructively and offer solutions 
  • Forward-thinking, structured, and process-oriented thinker 
  • Self-starter mentality with good business judgement

Tâches et responsabilités essentielles 

 

Planification de recherche et de projet 

  • Agir à titre d’expert principal pour de multiples projets clients simultanés en collaboration avec les consultants et d’autres experts. 
  • Agir à titre de partenaire de réflexion auprès de l’équipe dans tous les aspects des projets en déterminant et en élaborant des approches et des stratégies rigoureuses (p. ex., déterminer des cibles prioritaires au moyen d’études de marché, utiliser des outils de données et établir des paramètres pour offrir des solutions aux clients selon l’échelle et la portée). 
  • Guider l’équipe de projet tout au long des processus de recherche afin d’orienter les stratégies, la sélection des candidats et les documents à l’appui des clients en mettant constamment l’accent sur la qualité et l’efficacité.  
  • Déterminer, évaluer et classer les candidats potentiels au moyen d’un processus de recherche approfondi, du réseau interne du cabinet et des ressources externes. 
  • Saisir les différentes occasions offertes par le cabinet pour continuer à acquérir une compréhension profonde de nos solutions afin d’en élaborer des nouvelles qui répondront aux besoins individuels des clients. 
  • Créer des documents de grande qualité pour les clients (p. ex., profils des candidats, listes des caractéristiques des rôles, stratégies de recherche, rapports d’évaluation et d’avancement à l’intention des clients, etc.) 

 

Prospection de clientèle  

  • Collaborer avec les équipes clients pour élaborer des présentations et des documents de prospection de clientèle, et adapter les livrables et les solutions pour répondre aux besoins particuliers des clients.  
  • Amorcer, façonner et diriger de façon proactive des activités de prospection de clientèle et d’autres projets liés aux affaires, y compris surveiller les changements pertinents du marché dans un segment ou une fonction, les nouvelles des entreprises et les changements de personnel. 
  • En collaboration avec les consultants, établir des listes de soupers, de conférences et autres événements ciblés se prêtant à la prospection de clientèle. 

 

Gestion des connaissances 

  • Contribuer aux activités de gestion des connaissances du cabinet en cherchant des occasions de mettre en commun l’expertise et les pratiques exemplaires, en créant un réseau de personnes au sein d’un secteur d’activité ou d’un secteur fonctionnel et en consignant l’information pertinente. 
  • Approfondir un domaine d’expertise afin de fournir aux équipes clients des conseils stratégiques et des renseignements de grande qualité sur les tendances et les sujets importants.   


Qualifications minimales 

  • Baccalauréat requis. 
  • Minimum de trois années d’expérience professionnelle (après les études de premier cycle). 
  • Expérience fonctionnelle avérée dans un domaine similaire (p. ex., étude de marché, recherche qualitative ou juridique, services-conseils professionnels, planification de projets). 
  • Expérience antérieure de projets demandant de travailler efficacement sur plusieurs mandats simultanément. 
  • Capacité à travailler efficacement dans un environnement dynamique et axé sur les clients. 
  • Esprit critique et esprit d’analyse exceptionnels. 
  • Excellentes aptitudes en communication orale et écrite.  
  • Très grand souci du détail.  

 

Qualifications privilégiées 

  • Expérience pertinente dans un ou plusieurs domaines liés à la santé, soit universitaire (p. ex., diplôme en biologie, en chimie, en santé publique, etc.) ou professionnelle (p. ex., poste antérieur dans un laboratoire, un hôpital, une entreprise pharmaceutique, etc.). 
  • Affinité et intérêt pour le secteur du recrutement de cadres. 
  • Excellentes compétences en gestion des mandats et capacité à diriger des projets avec un minimum d’orientation ou de supervision.
