Role overview

Our Solutions Support Associate provides logistical, administrative, and operational support to the Player Engagement (PE) Solutions Team. In this role, you will be responsible for ensuring the creation and maintenance of records and tools to enhance team efficiency. By streamlining data collection and setup processes for reporting, you will help reduce time spent on manual tasks, enabling the PE Solutions Team to focus on strategic initiatives.

Business

  • Maintains the company database/s (Salesforce) of prospects, proposals, operations and client/partner contacts

  • Reviews proposals, contracts, and operations documents for compliance and administration, in collaboration with the business unit and sales support. 

Analytics

  • Analyzes the internal client database and ensures compliance by collecting and organizing data, tracking key metrics, maintaining accurate records
  • Provides clear insights and recommendations to support compliance efforts and keep stakeholders informed about internal client status and data integrity

Communication

  • Has strong verbal and written communication skills to respond to client inquiries and share information efficiently across the organization.  
  • Familiarity with tools and platforms (MS Office, Sharepoint, Salesforce, Hubspot) that facilitate coordination among sales teams, operations teams and partner organizations for effective document management. 

You'd be a great fit for this role if you have:

  • Experience in administration and reporting line of work 
  • Relevant knowledge in using Salesforce, Google Suite, MS Office and reporting tools such as but not limited to Data Studio, PowerBI and project management tools 
  • Minimum of 2 years’ experience in customer service/sales/marketing or related field is an advantage 
  • 4- year Course, BS Marketing, or related course is preferred 
  • Accuracy and thoroughness when managing databases, reviewing and summarizing different documentation

Roles and Responsibilities  

Project Management: 

  • Create and assign tickets following our PMs lead. Ensure everything is done according to specs and on time.

Translation: 

  • Translate internal and external documents from English to Japanese. 
  • Review Japanese assets to make sure that the language, grammar, tone of voice etc. are according to client’s requirements. 
  • Most of the documents you will be working on are confidential, which means you will not be able to rely on AI translation for most of your work. 
  • Many requests for translation come from other Keywords Studios, many of whom are based in the UK. Due to the time differences with the UK team, you may need to work on a later shift than most members on some days (e.g. 11:00 am - 8:00 pm) 

Reliability and independence: 

  • Everyone at Waste Japan works fully remotely. We need all our staff to be professionals and to be able to work on their own with minimum supervision.

  • Craft creative and compelling copy tailored to each platform, ensuring it captures the audience’s attention and drives engagement, adapting the voice and tone based on the specific project

You'd be a great fit for this role if you have:

  • 2+ years experience working within the social media space, preferably within an agency environment, managing multiple clients and campaigns, with a focus on delivering impactful, scalable social media strategies
  • Hands-on experience in running social media campaigns within the entertainment industry, engaging fan communities through innovative content strategies.
  • Excellent command of English with strong copywriting abilities to craft engaging and persuasive content
  • Excellent interpersonal and client communication/presentation skills
  • Availability to work between 9am and 6pm PST

  • Take an active role in planning of project pitches and be comfortable dealing face to face with external clients to discuss opportunities for working with them on their games.
  • Help to build and raise the profile of the growing art team.
  • Mentor Artists in the team, providing support and nurturing to encourage their continued growth, helping to improve their skills and build their knowledge and confidence.
  • Oversee and provide detailed feedback to multiple art disciplines including UI, Environment Art, Lighting, VFX, Character and Concept Art.

 

  • An impeccable eye for aesthetic quality, visual excellence and a high attention to detail demonstrated through an impressive art portfolio.
  • Highly proficient in current development tools and software including Unreal, Unity, Maya/ 3DS Max/Blender, Zbrush and Substance.
  • A confident art leader with excellent verbal and written communication skills. You will have the ability to articulate visual ideas with clarity and conviction and provide clear feedback and guidance.
  • Good understanding of fundamental art principles; colour and lighting theory, composition and staging techniques.
  • Able to creatively supervise and drive artwork, directing other artists and leading by example.
  • Agile, overseeing internal and globally diverse art teams on multiple projects and from various disciplines, and be able to adapt to a variety of art styles.
  • Understand up-to-date game development technical processes, you will take a keen interest in latest workflows and have an interest in learning, evaluating and evangelizing appropriate usage of new software, tools and technologies.
  • You will have good leadership skills, be a collaborative team player, with significant game art management experience.

Your mission as an Associate Operations Manager:

As an Associate Operations Manager, you will be responsible for managing one or more projects from initiation to completion, overseeing the work of the project teams, ensuring client satisfaction and financial performance, and building strong relationships with Keywords’ clients. What will be your main responsibilities?

Managing one or multiple projects concurrently.

  • Assuming full ownership on assigned projects and make sure clients' expectations are met, assigning a team accordingly and if needed reasonably adjust processes and setups.
  • Advising clients on best practices and agreeing on project processes and timelines.
  • Prepare schedules and liaise with the Team Leads and facilities based on availability and suitability for the project.
  • Participating in designing and improving processes, methodologies and tools.
  • Proactively managing changes in project scope, identifying potential risks, and devising contingency plans.
  • Managing day-to-day client interaction at a management, workflow and strategy level on assigned projects.
  • Constantly seeking opportunities to increase customer satisfaction and developing and deepen client long lasting relationships.
  • Preparing schedules and liaise with the Team Leads and facilities based on availability and suitability for the project and Assigning roles and coordinating workflows within the project team.
  • Requesting department software and hardware to the appropriate point of contact.
  • Providing relevant and thorough briefings to the Team Leads and agents and ensuring that the overall project strategy and client expectations are understood by all members of the teams while maintaining a good project culture.
  • Where necessary, assist recruitment efforts by interviewing candidates.
  • Maintaining and communicating Team Leads’ and agents’ performance records, including providing feedback and mentoring on an ongoing basis. Tracking, managing and analyzing KPIs of the project. Reporting project statuses and information on a regular basis, including creation of MBR/QBR/ABR, as well as assisting leads with WBR feedback.
  • Ensuring the project is financially successful, and accurate financial documents created and delivered to the client on time. Setting up and maintaining projects in the internal financial database system.
  • Ensuring quality control procedures are carried out on all projects and all project documents are complete, current, and stored appropriately.
  • Using client or industry tools (CRM/Backend) if needed, and where applicable creating views, reports and streamline workflows.
  • Initiating milestone reviews and post project reviews and action any process/changes improvements accordingly.
  • Facilitating team and client meetings effectively, including during the kickoff phase.
  • Resolving and/or escalating project or HR issues in a timely fashion.
  • Adhering to all Keywords policies, processes, and security.

Please note thatkey responsibilitiesmay vary during peak business periods, absences or workload fluctuations, and support to management as required.

  • You have 2+ years of Leadership experience as a Team Lead or Senior Team Lead.
  • Your communication skills in English are excellent (both verbal and written).
  • Working knowledge of MS Office, GSuite, PowerBI and CRM tools. Knowledge on advanced Google Sheet formulas is also needed.
  • You have great analytical skills, strong client management skills, attention to detail, plus you're a highly organized, proactive person with the ability to prioritize tasks.
  • You're strongly focused on continuous improvement and operational optimization and will be able to efficiently resolve conflicts.
  • Promoting a culture of open communication is important to you as well.
  • You have experience working within an international environment.
  • You have the necessary knowledge on how to actively implement and promote feedback mechanisms in assigned projects.
  • You're able to recognize patterns and inconsistencies in large amount of data and information.
