In this role, you will oversee and assist our offices with working commercial jobs and communicating with our customers.  This individual establishes relationships with our customers from the initial call notifying us of the job through daily updates and final invoicing, realizing that sales and customer service are part of the entire process.  This role supports our offices daily with job processes, estimating, and project oversight.  This role has flexible work hours but sometimes requires conversations with customers and offices during night and weekend hours.  The ideal candidate for this role will have strong project management and customer service skills, as well as experience in the insurance industry and structural damage estimating.   
 
Position: Commercial Performance Support Specialist
Reports to: Commercial Training Director
Location: Remote 

Essential Duties/Responsibilities
  • Receive jobs from national customers and assign to local Paul Davis office based on location and job requirements.
  • Sometimes required to have conversations with customers and offices during the night and weekend hours - flexible work hours.
  • Builds relationships with national customers.
  • Oversees job confirming that office is meeting requirements of service level agreement with customer.
  • Communicate initial job information and reporting to customer based on site inspection.
  • Assist offices with the creation of preliminary reports, rough order of magnitude estimates, and timelines on all jobs.
  • Locate additional resources or expertise within Paul Davis network if job requires.
  • Partner with other internal business functions to facilitate successful commercial job process
  • Work with offices to provide daily updates to customers on the progress of jobs.
  • Manage the progress of jobs through the job management system.
  • Provide assistance with cost estimating on the job.
  • Communicate with offices regularly to confirm the job is progressing based on the timeline.
  • Review estimates submitted by offices to confirm accuracy based on scope and reporting, and that correct pricing is used.
  • Discusses the estimate or bid with the customer focusing on sales and customer service.
  • Provide final estimate to Finance and Administration Coordinator for invoicing.
  • Other duties as assigned.

Required Education and Experience
Bachelor's Degree in business, construction, construction management, insurance, or relevant degree and/or experience.
A combination of experience, proven skills, and extensive knowledge of insurance and the restoration industry may be considered in lieu of a degree. 

Preferred Education and Experience
A minimum of 10 years of relevant property insurance or restoration industry experience.

Environment  
The employee will be working remotely in their home office and will be exposed to normal conditions of air conditioning and heat. The successful person must be productive with minimal supervision.

This position may require up to 30% travel for vendor sites, business visits as well as for team meetings and training.

The Safety Program Manager is responsible for the development, oversight, and management of the Safety Program for Paul Davis-owned operations as part of overall Governance and Risk Management. This role is responsible for ensuring compliance with federal, state, and local regulations while also performing safety audits and assessments to prevent workplace safety and fleet-related incidents. This role will plan, enforce, and conduct preventive care, safety, and compliance training programs. The position will also establish and report on a consistent set of key Safety metrics each month and drive efforts to continuously improve and reduce incidents.

Key Responsibilities:

  • Develop and formalize safety programs: Lead the development, implementation, and continuous improvement of corporate fleet and workplace safety programs to meet regulatory requirements and industry best practices.
  • Fleet Safety Management: Oversee the safety of the company's fleet operations, including driver training, vehicle maintenance protocols, and compliance with Department of Transportation (DOT) regulations.

The Commercial Regional Sales Manager, is an outside sales position that will prospect and build new account relationships with commercial accounts while growing and maintaining the existing account base in the property mitigation and restoration industry. Working with Commercial prospects and clients, this leader will implement agreements with new and existing commercial clients in an assigned Regional territory as well as collaborating with offices on local/regional commercial opportunities to expand market share and growth initiatives.   • Expand market share and opportunities within a defined list of existing accounts in assigned areas 
  • Communicate with, train, and motivate network offices to understand and support the Business Development department and expand knowledge base of Commercial initiatives 
  • Negotiate and complete MSAs (Master Service Agreements) and FSAs (First Priority Agreements) with local/regional commercial partners  
  • Develop and deliver sales presentations in a professional and effective manner by

  • Estimate and documentation reviews for mitigation assignments, which include, but is not limited to: water, mold, tarping, board-up, and other emergency services
  • These reviews include utilization of knowledge of industry standards, carrier guidelines, and estimating best practices to ensure adherence to carrier service level agreements
  • Communicate directly with franchisees and insurance carriers, to ensure that these requirements are being met
  • Communication expectations include inbound and outbound phone calls, claim management system notes, email, MS Teams, and other potential applications
  • Coach franchises on opportunities to improve their estimating and documentation performance 
  • Identify and communicate trends to Team Managers, Account Managers, and Regional Business Consultants
  • Provide assistance to franchises on estimating requirements and claim expectations, based on carrier guidelines; and support technical claim inquiries across the estimating/claim management platforms
  • The support provided to the franchise network and carrier partners provides an opportunity for Paul Davis to obtain more jobs through improved scorecard performance

  • Coach franchises on opportunities to improve their estimating and documentation performance 
  • Identify and communicate trends to Team Managers, Account Managers, and Regional Business Consultants
  • Provide assistance to franchises on estimating requirements and claim expectations, based on carrier guidelines; and support technical claim inquiries across the estimating/claim management platforms

Required Education and Experience: 
 High School Diploma or GED
  • Bachelor’s Degree or equivalent experience in insurance claims or related field 
  • 2 plus years’ experience with estimation principles for the insurance industry 
 
Preferred Education and Experience:
  • Experience serving in a customer service role.
  • 5 plus years’ experience in the restoration industry regarding water mitigation, mold remediation, lead and asbestos abatement, contents cleaning, contents packing, structure cleaning, and reconstruction. 
 
Physical Requirement: 
  • Must be able to stay in a stationary position up to 100% of the time 
  • The person in this position needs to occasionally move about inside the office to access file cabinets, office machinery, etc.
  • Constantly operates a computer and other office productivity machinery, such as a calculator, fax machine, copy machine, and computer printer.
  • Must be able to observe and perceive information on a computer and documents 
  • Must be able to communicate and converse with customers over the phone 
  • Occasionally will lift up to 10lbs
  • Ability to safely operate a company vehicle  
 
Work Environment:  
The employee will be working indoors.  The employee will be exposed to air conditioning and heat.  The employees will be exposed to normal noises throughout the office. 
 
Travel:

The primary responsibility of the Quality Assurance Specialist is to complete estimate and documentation reviews on mitigation (water, mold, fire, tarping, board-up, emergency repairs),  contents, large loss fire, time and materials, and reconstruction assignments; with work standards focused on accuracy, speed, and customer service. This position will also assist with support of the department and network during a Catastrophe Event.  

Essential Duties/Responsibilities:
 
  • Complete accurate and timely estimate and documentation reviews through our main technology platforms; XactAnalysis, Symbility, CMS (NextGear product), and other estimating/claim management platforms  
    • Accuracy of work is measured by internal reinspections 
    • Timeliness of work is measured by automated reporting between documented events 
  • Complete estimate and documentation reviews for mitigation (water, mold, fire, tarping, board-up, emergency repairs), contents, large losses, time and materials, and reconstruction assignments 
    • These reviews include utilization of knowledge of industry standards, carrier guidelines, and estimating best practices to ensure adherence to carrier service level agreements
  • Communicate directly with franchisees and insurance carriers, to ensure that these requirements are being met
  • Communication expectations include inbound and outbound phone calls, claim management system notes, email, MS Teams, and other potential applications
