Role Overview

The Digital Guest Experience Manager is a dynamic opportunity for a people-driven, entrepreneurial individual to shape exceptional end-to-end experiences for VAWAA guests globally. Working closely with the Founder and team, you’ll play a key role in facilitating transformative creative journeys for our customers. Your focus will be on converting online inquiries into bookings, offering personalized guidance, and managing communications from pre- to post-VAWAA. This includes processing bookings, handling payments, and providing follow-up support. The ideal candidate will bring a blend of sales expertise, creativity, cultural fluency, and business acumen to deliver a seamless, world-class service to our guests.

    What you'll do

    • Facilitate life-changing travel and creative experiences across the globe.
    • Leverage your sales skills to convert inquiries into bookings, providing personalized guidance and follow-ups throughout the decision-making process.
    • Manage communications with multiple customers at various stages—from initial inquiry to post-experience—using smart tools to ensure timely, accurate responses without missing any details.
    • Coordinate booking-related communication with artists across time zones, ensuring seamless collaboration.
    • Process, confirm, and manage all customer bookings, payments, refunds, rescheduling, cancellations, promo codes, and gift cards with precision through our backend systems.
    • Identify upsell opportunities to maximize customer value.
    • Prepare customers with essential pre-travel information and resolve any individual issues that arise.
    • Collect and organize post-experience feedback, photos, and reviews to foster repeat customers and referrals.
    • Surpass customer expectations, consistently delivering an extraordinary experience.
    • Build lasting relationships within the VAWAA community, creating loyal, long-term customers.
    • Collaborate with the Marketing Manager to showcase customer stories and highlight positive experiences.
    • Monitor key metrics, providing feedback and actionable insights to improve customer experience and operational efficiency.
    • Optimize the booking flow to minimize friction and scale operations while maintaining human and personalized touches.
    • Work efficiently with daily tools such as Slack, Streak, Customer.io, Notion, Google Documents, Trello, and Mailchimp.

      What we're looking for

      • 2+ years of copywriting, journalism, social media, video production, or editing experience with a focus on creative, lifestyle, or culture brands
      • Exceptional writing skills paired with a keen eye for design and storytelling. Your stories are simple, moving and visually striking
      • Craft, design, travel and culture enthusiast, with sensitivity to create content that resonates with VAWAAs diverse global audience
      • Deep expertise in brand marketing and content strategies, with the ability to scale a brand by repurposing content effectively across social media, newsletters, and blogs.

      What you'll do

          • This role will play a vital role in building our presence on social media (with Instagram focus) and will report to the Founder
          • Develop a social media strategy that enhances brand awareness, grows organic reach, and drives engagement.
          • Ideate, develop, and produce social content (text, images, videos) using user-generated content from our library, at a minimum of 3 posts per week
          • Leverage all formats like IG carousels, stories and reels to amplify reach
          • Build relationships with followers, responding to comments, messages, and mentions in a timely manner, and fostering a strong online community.
          • Keep up with timely trending topics on social media and develop content based off those trends
          • Identify and monitor trends in crafts, arts, pop culture, travel, music, and fashion
          • Identify and engage with influencers, artists, and brand ambassadors to build meaningful partnerships and amplify our reach.
          • Analyze social media metrics and insights for Instagram to inform strategy refinement and optimize performance
          • Work closely with founder to ensure consistent messaging and alignment with broader company goals.

          The Design Curator & Partnerships Associate will work closely with our Founder and team and play a pivotal role in curating and growing our roster of extraordinary artists from around the world. You’ll focus on artist acquisition through digital outreach, vetting potential artists, building relationships, and guiding them through the process of joining our platform. This role requires a blend of creativity, cultural fluency, and business acumen to ensure we are working with the best artists globally while forming valuable collaborations.

          What we're looking for

          • Background in Art, Design, or Curatorial Practice: 2+ years of experience in art curation, design, or a related field with a strong appreciation for global arts, crafts, and creativity.
          • Partnerships & Business Development: Experience in forming strategic partnerships with collaborators, talent, or cultural organizations.
          • Resourceful Connector:Skilled at finding hard-to-reach artists and establishing contact through email, social, phone, WhatsApp, or Zoom. Persistent, creative, and adaptable in overcoming communication and language barriers.
          • Operational Excellence:Proficient in using tools like Airtable, Notion, and Streak to track artist outreach, follow-ups, and applications. You keep everything organized, maintain a well-structured artist database, and ensure smooth processes from lead to launch.
          • Cultural Fluency: Ability to connect with artists and partners from diverse cultural backgrounds, respecting and promoting cultural heritage.

          • Advocate for each artist’s ongoing success within the VAWAA community through regular feedback loops, growth initiatives, and building trust and rapport.
          • Ensure artists meet our criteria in terms of skill, creativity, and ability to offer meaningful, hands-on learning experiences.
