We're looking for a detail oriented, results driven, Executive Assistant that thrives working in start-up environments and is well versed in providing executive support. The ideal candidate for this role has a track record of operating with a sense of urgency, exceling independently with ambiguous tasks, prioritizing effectively, staying organized, and demonstrating flexibility with their work hours (providing support when needed in the evenings and on weekends).

As an Executive Assistant, you'll be providing support to one of Legalist's co-founders who splits his time between two fast-growing organizations. This is a critical position that will have a lot of autonomy in an effort to help optimize for the efficiency and accuracy of our operations. 

Responsibilities

  • Provide administrative assistance, such as writing and editing emails, drafting memos, creating agendas, and preparing communications on the executive’s behalf
  • Take notes during meetings and maintain comprehensive and accurate records
  • Perform minor human resources duties such as managing expense reports and assisting with new-hire onboarding
  • Organize meetings, including scheduling, and sending reminders
  • Manage the business’ relationship with software vendors by maintaining payments, archiving contracts, negotiating discounts, and rolling out implementations
  • Manage the executive’s calendar, including making appointments and prioritizing the most sensitive matters
  • Manage miscellaneous one-off tasks such as setting up insurance policies, ordering catering, or planning a company event
  • Create new strategy and processes to help the executive stay organized and work with optimal efficiency

Required Qualifications

  • 6+ years of experience working as an assistant to an executive
  • Available during off hours
  • Excellent written and verbal communication skills
  • Discretion with sensitive information

Preferred Qualifications

We are looking for an Associate Executive Assistant to support two (2) to four (4) executives from different areas of the company.

What you’ll do:

  • Safeguard your executives’ calendars while proactively implementing thoughtful themes to their schedules (for example: separate blocks of time for different initiatives; ex: all interviews on Monday afternoons, all product-related meetings on Tuesday mornings, etc.)
  • Assist your executives with a multitude of tasks such as scheduling meetings and calls (internal, external, interviews, etc.), inbox management, booking and managing travel, event planning, and other special projects
  • Support with planning and execution of team offsite events
  • Note: up to 10% travel will be required for this position (typically 1x/quarter)

  • Unlock focus and productivity for our President and CTO by managing their daily, weekly, and quarterly calendar, including:

About the Position

Executive Assistants sit on Bellwether’s Core team and work across Bellwether supporting assigned leaders on our Policy & Evaluation and Strategic Advising teams. Under the direction of the Senior Executive Assistant & Administrative Manager, Executive Assistants will support best practices related to scheduling, travel planning, and administrative support. 

The Executive Assistant’s primary responsibilities and duties will be to:

  • Own and drive calendar management for complex internal, client-based, and project-based scheduling.
  • Be a proactive thought partner for up to four Bellwether senior team members with a focus on managing team members’ time in a fast-paced, high-volume, client services-oriented environment.
  • Arrange extensive domestic travel for these team members.
  • Prepare, reconcile, and submit expense reports for these team members every month.
  • Plan logistics for meetings or convenings as they relate to client projects.
  • Regularly add and update contact information in Salesforce.
  • Provide other ad hoc assistance to the team members you support, to other Core Team members, and to the Administrative Manager and Director of HR Operations, as needed.

Compensation

The base salary range for this role for incoming team members is $62,475-$70,000 annually.
