We’re looking for an Information Technology Support Analystto join our newly created Enterprise IT department. This person will provide partnership across the organization and support the IT team in improvements to our technology stack, maintenance to our existing systems, and aiding new and existing employees with technology needs.

As anIT Support Specialist, you will work with employees to determine the nature of a problem, diagnose hardware or software issues, and provide exceptional assistance. You will lead implementation of new capabilities and train people on how to use them.

This is a full time, in-person/hybrid role (Tues, Weds + Thurs in office) based in Tribeca, NYC.

As IT Support Specialist, you'll:

ERP and BI System Support

  • Provide business systems support and maintenance, especially across our ERP, BI platform, and middleware software.
  • Troubleshoot and resolve any Level 1 issues related to the ERP system promptly.
  • Coordinate with vendors and IT teammates to implement system updates, patches, and upgrades.
  • Develop and maintain QA tasks related to data & system integrity.

Technology Support and Maintenance

  • Be the first layer of technical support to team members for hardware, software, and system-related issues.
  • Perform routine maintenance and updates on existing IT systems and infrastructure.
  • Develop and maintain documentation for IT processes, system configurations, and troubleshooting procedures. 
  • Manage and improve our corporate network infrastructure including routers, switches, conference room technology, printers, security, and wi-fi.
  • Lead and support technology improvement projects including business requirements sessions with stakeholders, design, build, testing, training, documentation, and post-live support.
  • Manage and improve our business continuity and disaster recovery posture.
  • Create documentation and knowledge sharing including process and data flows, issue resolutions, and training materials.

Onboarding New Team Members

  • Manage the technology onboarding process for new employees, including setting up any necessary equipment and software.
  • Provide training and support to new hires on company systems, tools, and best practices.
  • Ensure all necessary access permissions and accounts are created and configured.

Collaboration and Improvement

  • Establish and implement software, system, and data management policies to govern the organization.
  • Collaborate with other departments to identify technology needs and opportunities for improvement.
  • Assist in evaluating and implementing new technologies or systems that can enhance operational efficiency.
  • Participate in IT projects and initiatives. 
  • Bachelor’s degree in information technology, computer science, or similar education and career experience.
  • 2-3 years professional experience such as experience in IT support or similar work within a fast-growing company [ideally onsite / within an office environment]
  • Strong technical aptitude, knowledge of computer hardware and networking systems, and ability to troubleshoot complex hardware and software issues.
  • Familiarity with ERP systems such as Microsoft Business Central.
  • Exceptional GSuite and/or MS Office skills
  • Proficiency in Windows/Mac OS.
  • Experience with help desk software.
  • Understanding of relational databases is a plus
  • Familiarity with BI Reporting software such Looker or other data visualization tools

  • Maintain skills / certifications on CIS-IRM and any other risk implementation certifications
  • Demonstrated ability to influence and consult (providing options with pros, cons and risks) in an IT environment, while providing thought leadership to IT sponsors/stakeholders in solving business process and/or technical problems
  • Experience with Web Technologies (XML, HTML, JavaScript, Web Services, Bootstrap, CSS, middleware, LDAP, SSO, etc.) and working with SaaS technologies

THE POSITION

We are seeking a highly motivated and detail-oriented IT Director to join our team. This individual will play a critical role in supporting our global IT infrastructure, implementing solutions, and providing day-to-day support to meet the needs of a geographically dispersed team of over 60 staff across more than 12 countries. Responsibilities encompass a blend of technical expertise, analytical thinking, and a commitment to continuous improvement. This role reports directly to the CFO and works collaboratively across departments.

RESPONSIBILITIES

IT Services

  • Manage Information technology onboarding and offboarding of staff, ensuring seamless integration into the IT ecosystem,
  • Provide including but not limited to providing:
    • day-to-day staff support and troubleshooting.
    • Staff training in software and hardware solutions.
    • End-user support for laptops, mobile devices and equipment in the office.

Vendor Management and Collaboration

  • Collaborate with third-party vendors and consultants to identify and evaluate potential solutions, ensuring adherence to agreed-upon service levels.
  • Recommend vendors based on organizational needs, budget constraints, and security best practices (in consultation with the CFO).
  • Collaborate with cross-functional teams (e.g., Development, Finance) to implement and maintain new technologies and systems that align with departmental goals.
  • Identify, deploy, and support improved remote collaboration solutions and hybrid meetings.

System Management and Operations

  • In collaboration with CFO, oversee the management and optimization of the IT infrastructure, including hardware, software, network, and cloud services.
  • Analyze existing software and platforms to identify opportunities for improvement, efficiency gains, security vulnerabilities, and alignment with current business needs.
  • Evaluate current IT services for performance, scalability, security, and user experience (including infrastructure, vendor management, security measures, and help desk support).
  • Make recommendations to the CFO for new software and platforms based on organizational needs, budget constraints, and security best practices.
  • Develop and implement data migration plans for transitioning to new platforms from legacy systems, to ensure data integrity and to minimize downtime, disruption, and burden for staff.

Maintenance & Security

  • Lead and execute IT projects from initiation to completion, ensuring timelines and budgets are met (in collaboration with the CFO).
  • Generate reports on IT infrastructure and support metrics (application downtime, security incidents, repeated end-user requests, opportunities for training and infrastructure improvements, etc.) for the CFO, management, and stakeholders.
  • Develop, implement, and enforce robust cybersecurity measures to safeguard organizational data and systems, including but not limited to:
  • Backup systems for critical data, including resilient disaster recovery.
  • Multi-factor authentication, password management, hardware tokens, and passkeys.
  • Timely software updates.
  • VPN policy.
  • Comprehensive incident response plan
  • Work with the CFO to develop and deploy criteria for preserving documents as exceptions to Data Hygiene Policies and develop/revise relevant Policies as needed.
  • Manage and administer various solutions (e.g., Microsoft 365, Google Workspace, Nextcloud) for optimal performance and security.
  • Explore potential for open-source alternatives for productivity tools (e.g. Mattermost).
    Maintain detailed and up-to-date IT documentation, including asset tracker, system configurations, procedures, security protocols, and user guides for all tools.
  • Conduct ongoing education and periodic testing against spear phishing and other cyberattacks against staff.
  • Establish and enforce clear policies for data protection, access control, and acceptable use of IT resources.
  • Stay abreast of the latest trends, vulnerabilities, and best practices in information security, and implement appropriate measures to mitigate risks.
  • Educate staff on best practices to secure their personal devices and accounts.

Reporting & Analysis

  • Analyze organizational and departmental objectives and needs and recommend technology solutions to boost productivity, efficiency, and security.
  • Continually analyze processes, technologies, and vendors to find areas for improvement and cost savings, translating findings into actionable recommendations for the CFO, including:
  • Upgrades to existing hardware or software to improve performance and scalability.
  • Implementation of new technologies to automate tasks and streamline workflows.
  • Consolidation of vendors to reduce costs and improve manageability.
  • Outsourcing of specific IT functions to free up internal resources.

QUALIFICATIONS

The successful candidate will have the following characteristics and qualifications:

  • A minimum of 10 years of work experience in Information Technology, preferably including cybersecurity, is required.
  • Strong understanding of LAN/WAN administration, cybersecurity best practices, and service contracts.
  • Previous experience in:
    • International non-profit environment preferred.
    • Creating IT infrastructure policies and building and implementing new systems.
    • Evaluating security and usability of privacy-focused apps and platforms.
    • Data Hygiene policy development, planning and implementation (including automated systems in e.g. Google Suite, Slack, Zoom).
    • Public Key Cryptography -- training and key management e.g. for PGP/GPG.
    • Tor infrastructure for security/privacy goals (e.g. Tor Browser, TAILS, OnionShare).
    • Deploying and managing secure desktop environments (including: QubesOS; TAILS; MacOS Lockdown mode, Advanced Data Encryption and Contact Key Verification).
    • Managing and optimizing for usability enhanced security options for mobile devices (e.g. GrapheneOS, iOS Lockdown Mode).
    • Tech security for partners and organizations in hostile network and political environments.
  • Experience with evaluating and using private/secure Machine Learning/AI/LLM.
  • Excellent communication and interpersonal skills.
  • Demonstrated sensitivity to the needs and concerns of individuals from diverse cultures, backgrounds, and orientations, and commitment to RAN’s values.
  • Ability to work collaboratively in a team environment.

LOCATION

This position is remote, however, occasional travel to RAN’s headquarters in San Francisco and other in person events is required. Because this is a highly collaborative position that works with every member of our staff, candidates should expect to be available with regard to time zones including all US time zones, as well as time zones in Europe, Australia, and SE Asia.

COMPENSATION

This is a full-time position with an anticipated starting salary range of $105,000-$120,000 commensurate with experience.

Benefits include 100% RAN-paid health, dental and vision insurance for the staff person and their partner/family, four weeks PTO (increases to five weeks after two years) as well as a paid winter break, and a retirement plan with a 3% employer match. Additionally, after every five years of service, staff are eligible for a 12-week fully paid sabbatical.

  1. System Implementation, Configuration and Integration Development
    1. Plan and execute medium-to-large size projects to enhance People processes; scope and develop new scalable processes as Webflow evolves
    2. Lead implementation and configuration of Workday and other People Systems functionality/modules as well as related integrations based on organizational requirements

    4. Act as an internal consultant, providing guidance and best practices on processes and technical build
  2. Reporting and Data Management
    1. Analyze complex data sets, generate reports, and provide insights to support strategic decision-making. Develop custom reports and dashboards as needed
    2. Collaborate with People Operations and cross-functional partners to ensure data integrity and quality across People systems
    3. Ensure compliance with relevant regulations and internal policies. Support audits and data integrity efforts
  3. End-User Support
    1. Provide support to end-users, addressing inquiries and issues related to People Technology functionality
    2. Troubleshoot and resolve technical problems within Workday, supported systems, and related integrations
  4. Training and Documentation
    1. Develop training materials and conduct training sessions for end-users on People systems, processes and best practices
    2. Maintain comprehensive documentation of system configurations, processes, and user guides to ensure knowledge transfer and continuity
  5. Continuous Improvement
    1. Actively participate in ongoing system enhancement projects to streamline processes
    2. Identify opportunities for process optimization and recommend solutions to enhance efficiency and user experience
    3. Maintain up-to-date and industry best practices knowledge of Workday and other People systems to contribute to the ongoing enhancements

About you 

Requirements

  • Minimum of 5 years of experience directly supporting Workday as a technical analyst, and 2+ years of exposure administering and supporting other people systems
  • Bachelor's degree in Human Resources, Business Administration or a related field, is preferred
  • Background in configuring and supporting key support HCM modules (i.e., Advanced Compensation module in Workday (especially compensation planning), Workday Time Tracking, and Workday Leave and Absence, Workday Benefits
  • Experience project managing technical projects from discovery all the way through to post-production support
  • Experience in identifying gaps in processes and supporting the enhancement and evolution of systems to ensure scalability
  • Preferred: 2+ years utilizing integration iPaaS tools (Zapier, Workato, Mulesoft)
  • Preferred: Familiar with troubleshooting/updating integrations using Workday Studio
